Inviting Residents

If you are a resident of an HOA that uses Communitrak, we invite you to visit the Resident Support section of our website.

Once Communitrak has been configured to match the style, brand, and needs of your community, you’re ready to begin inviting residents. We encourage you to complete the steps in our article Getting Started for Leaders before inviting residents.


Overview

In order to maintain a secure and trusted online environment for your community, Communitrak is invite-only. To join Communitrak, each household requires an invitation containing a unique access code, which must be sent by a Community Leader. Note that only one invitation is necessary per household, as once a household has joined, the Head of Household may then invite their other household members.

Invitations to join Communitrak can be sent via email, text message, or printed access pass. We’ll go over each of these methods below.


Importing Resident Information

To expedite the onboarding process for recently established HOA accounts on Communitrak, we recommend using our Member Import tool for importing resident information. With the assistance of this tool, you can effortlessly upload member, property, household, and community information, eliminating the need for manual entry.

Step 1: Download our CSV Template here.

Step 2: Use Excel or Numbers to edit the CSV and provide resident information.

Step 3: Ensure the file is saved as a CSV. Excel may convert the file to an .xls file.

Step 4: Upload the file to Communitrak here.

Inviting Residents via Email

Sending invitations via email is easy whether you’re inviting one or three hundred new households. Just compile a list of email addresses and paste into Communitrak. Once verified, we’ll send each address a unique access code.

Inviting Residents via Text Message

Invitations can also be sent via text message. Simply provide the resident’s phone number and click send. Within seconds, they’ll receive a text message with a unique link to join.

Inviting Residents via Access Pass

In some situations, you may want to distribute physical access passes to residents at a community meeting or maybe through the mail as a part of a recurring newsletter sent out by your HOA. Generating and printing access passes allows for this. Each access pass contains a unique access code that is tied to your community and can only be used once.
