Navigating the Community Members directory

View, search, filter, and manage your community's member directory.

The Community Members page is your community's member directory. You can search for members, filter by status, and view contact information. Community Leaders with additional permissions can also edit roles, invite new members, export the list, and perform bulk actions.

Who can do this

Anyone with the View Active Members permission can access this page. Some options (inviting members, editing roles, exporting, viewing inactive members) may be unavailable or appear differently depending on your level of account access.

Open the Community Members directory

  1. Log in to Communitrak at https://app.communitrak.com.

  2. In the main navigation menu, expand Members & Groups and click Community Members.

Filter members by status

Tabs across the top of the page let you narrow the list by status. The count next to each tab updates automatically.

  • All shows active and pending members together.

  • Active shows only members with active accounts.

  • Leaders shows members who are marked as community leaders on their profile. Requires the View Leaders permission.

  • Inactive shows members with inactive accounts. Requires the Admin View Members permission.

  • Pending shows members who have been invited but have not yet activated their account. Requires the Invite Members permission.

Note: If you don't see every tab listed above, your role may not include the permissions needed to view those statuses.

Search the directory

Use the search bar at the top of the table to find members by name, address, role, title, email, or phone number. Results filter in real time as you type.

Sort and customize columns

Use the sort dropdown to order the table by First Name, Last Name, Role, Title, Email, or Phone.

Click the Columns button to open the Customize Columns dialog, where you can toggle which columns appear in the table. The Member and Actions columns are always visible. The toggleable columns are:

  • Role (on by default)

  • Title (on by default)

  • Email (on by default)

  • Phone (off by default)

Note: If a member has set their email or phone to private in their directory visibility settings, you'll see "Private" in the column unless you have the Admin View Members permission.

Edit a member's role, leadership, or title

This requires the Change Member Role permission.

  1. Find the member in the table.

  2. Click the pencil icon in the Actions column.

  3. The Role, Leader, and Title fields become editable inline. Choose a new role from the dropdown, tick or untick the Leader checkbox, and update the title as needed.

  4. Click the checkmark icon to save, or the X icon to cancel.

Leadership belongs to the member, not to the role they hold. Picking a role ticks or unticks Leader for you, using that role's Leader by default setting as a starting point, but whatever you leave the checkbox on is what gets saved. That means a member can be marked as a leader while holding any role, and a member holding a leadership role can be left off the leadership list.

A member's leader marking is shown in the Role column as a green badge next to their role name.

Bulk actions

If you have the Change Member Role permission, checkboxes appear on each row. Select one or more members and a floating action bar appears at the bottom of the screen.

Change Role

  1. Select the members you want to update.

  2. Click Change Role in the floating action bar at the bottom of the screen.

  3. In the Change Member Roles dialog, choose a new role from the dropdown.

  4. Under Leadership, tick Mark as community leaders to make every selected member a community leader, or leave it unticked to remove the marking from all of them. Choosing a role sets this checkbox to that role's default, and you can change it before saving.

  5. Optionally enter a title to apply to all selected members (leave it blank to keep their existing titles).

  6. Click Update Roles.

Resend Invitations

When viewing the Pending tab, a Resend Invitations button also appears in the floating action bar. Select the pending members who need a new invitation email and click the button to resend.

If you imported members without sending invitations, use this button when you’re ready to send their initial account invitations.

Invite a new member

This requires the Invite Members permission.

  1. Click Invite Member in the top-right corner of the page.

  2. Complete the fields in the Invite Member dialog.

  3. Submit the invitation. The new member will appear in the Pending tab until they activate their account.

Export members to CSV

This requires the Export Members permission.

Click the Export button next to the search bar. A CSV file of the currently displayed members will download to your device.

Things to know

  • The All tab shows both active and pending members but excludes inactive members. Switch to the Inactive tab to see those.

  • Clicking a member's name opens their full profile page (if your role gives you access).

  • Import Members is currently only available to Communitrak team members. If you’d like to import members, please reach out to Communitrak Support.

  • Marking someone as a community leader only changes how they appear around Communitrak (the leader badge, the Leaders tab, and the Community Leaders card on the Dashboard). It grants no permissions. Permissions come from the Community Role.
