The Files module is your community's shared cloud drive. Those with access can upload documents, create folders with role-based access, and share files with residents via the Bulletin Board or Messages. Residents can browse and download files shared with them.
All community members can browse files and folders they have access to. Uploading, creating folders, renaming, moving, deleting, and managing security each require their own permissions. Some options may be unavailable or appear differently depending on your level of account access.
Log in to Communitrak at https://app.communitrak.com.
Click Files in the main navigation menu.
The page opens to the root folder. A breadcrumb trail at the top shows your current location in the folder hierarchy. Double-click any folder to open it, or use the breadcrumbs to navigate back up.

Use the search bar to find files and folders by name. Results update as you type.
Click the view toggle to switch between Grid and List view. Use the Sort dropdown to order items by name (A-Z or Z-A), date (newest or oldest first), or size (largest or smallest first).
Each file card shows the file name, type icon, size, and last modified date. Image files display a thumbnail preview. A lock icon indicates a secure file, while a globe icon indicates a public file.
There are two ways to upload files:
Click Upload in the top-right corner and select one or more files from your device.
Drag files from your computer and drop them directly onto the Files page.
Files are uploaded to whichever folder you're currently viewing. This requires the Upload File permission.
This requires the Create Folder permission.
Click New Folder in the top-right corner.
Enter a folder name (up to 100 characters).
Select which roles should have access to this folder. Community Admin and Community Leader roles always have access and cannot be unchecked. Other roles can be toggled on or off.
Click Create.
Click a file or folder to select it, or right-click to access the action menu. Available actions depend on your permissions:
Download: download a copy of the file to your device.
Rename: change the name of a file or folder. Requires the Rename File permission.
Move: relocate a file or folder to a different location. A dialog opens where you can browse the folder tree and select a destination. Requires the Move File or Move Folder permission.
Delete: permanently remove a file or folder. Requires the Delete File or Delete Folder permission.
Change Security: toggle a file between public and secure. Requires the Update File Security permission.
Change Access: update which roles can access a folder. This option appears at the root level for folders. Requires the Manage Folders permission.
You can also move files and folders by dragging them onto another folder or onto a breadcrumb in the navigation trail.
Each file has a security setting that controls how it can be accessed:
Secure (lock icon): the file requires authentication to access. Only logged-in community members with the right folder access can view it.
Public (globe icon): the file can be accessed by anyone with the link, without logging in.
To change a file's security, select the file and choose the security option from the action menu. This requires the Update File Security permission.
Select one or more files and choose Share from the action menu. You have two options:
Post to Bulletin Board: creates a new bulletin board post with the selected files attached. Choose an audience, enter a subject and content, and post.
Send via Message: opens a new message with links to the selected files pre-populated.
Which sharing options appear depends on your permissions for the Bulletin Board and Messages modules.
A storage indicator shows how much of your community's storage has been used. The indicator changes color as usage increases. Hover over the bar to see the exact amount used and your community's storage limit.

The Files module must be enabled in Preferences for the Files menu item to appear.
Community Admin and Community Leader roles always have access to all folders regardless of the folder's access settings.
Deleting a folder also deletes all files and subfolders inside it.
Dragging a file from your computer onto the page uploads it to the current folder. Dragging an existing file onto a folder within the page moves it there.
Your sort preference and view mode (grid or list) are remembered for your next visit.
