When you compose a new message in Communitrak, you don't have to send it right away. You can schedule it to go out at a future time, which is useful for announcements you want to write now but deliver during business hours, on a specific day, or after an event. Scheduled messages wait in your Scheduled folder until they're sent, and you can edit, send, or cancel them at any point before then.
Scheduling a message uses the same permissions as sending one. You need the Send New Message permission to compose and schedule a message, and the matching recipient permissions (such as Send Message to Groups, Send Message to Everyone, or Send Message to Leaders) to schedule a message to those recipients. Scheduling a message on behalf of the community requires the Send New Message as HOA permission. Some options may be unavailable or appear differently depending on your level of account access.
Click New Message in the Messages sidebar.
Fill out the message as usual: select your recipients, choose a reply option, enter a subject, and write your message in the editor.
Click the arrow next to the Send button and choose Schedule send.
Pick when to send:
Choose one of the quick presets, such as Tomorrow morning, Tomorrow afternoon, or Monday morning.
Or click Pick date & time to choose any future date and time from the calendar.
Confirm your choice. The message moves to your Scheduled folder and will be sent automatically at the time you selected.
Note: Scheduled times use your community's time zone, which is shown in the picker (for example, Eastern Time). The send time must be in the future.


Click Messages in the main navigation menu.
In the sidebar, click the Scheduled folder under your Personal Inbox.
Each entry shows the subject, the recipients, and the scheduled send time. The folder lists only messages that are still waiting to be sent. Once a message goes out, it leaves the Scheduled folder and appears as a normal conversation in your inbox.
Open the Scheduled folder.
Click the message you want to change. It reopens in the editor.
Update any part of the message: recipients, subject, body, reply option, or the scheduled time.
To change only the send time, click Change time and pick a new time.
Click Save changes.
If you want a scheduled message to go out immediately instead of waiting, open the Scheduled folder and click the send icon on the message. Confirm when prompted, and the message is delivered right away.
To stop a scheduled message from being sent, open the Scheduled folder and click the trash icon on the message. Confirm when prompted. The message will not be sent, and this cannot be undone.
When a scheduled message is sent automatically at its scheduled time, you'll receive a notification so you know it went out.
Scheduled times always use your community's time zone, not your device's local time. The time zone is shown in the schedule picker.
If you have permission to use the Shared HOA Inbox, messages you schedule on behalf of the community appear in that inbox's own Scheduled folder, where other authorized leaders can view and manage them.
Editing, sending now, or canceling a scheduled message has no effect on messages that have already been sent.
