There are several ways to share files with your community in Communitrak. You can share files stored in the Files module by posting them to the Bulletin Board or sending them in a message. You can also attach files directly when composing a new message or reply.
Sharing to the Bulletin Board requires the Create Bulletin Board Post permission. Sharing via message requires the Send New Message permission. Some options may be unavailable or appear differently depending on your level of account access.
Click Files in the main navigation menu.
Navigate to the folder containing the files you want to share.
Select one or more files by clicking them.
Click Share from the action menu.
In the Share Files dialog, click Post to Bulletin Board.
Choose an audience from the Who can see this post? dropdown. Select "All Residents" to share with the entire community, or choose a specific group.
Enter a Subject. This is pre-filled with the file name (or "Shared Files" if multiple files are selected), but you can change it.
Write any additional context in the content editor. The file names are pre-filled for reference.
Click Create Post.
The files are attached to the bulletin board post. Recipients can view and download them directly from the post.

Click Files in the main navigation menu.
Navigate to the folder containing the files you want to share.
Select one or more files by clicking them.
Click Share from the action menu.
In the Share Files dialog, click Send via Message.
The New Message dialog opens with links to the selected files already included in the message body. Add recipients, a subject, and any additional text, then send as you normally would.
Recipients receive clickable links to each shared file. The files are not copied or attached to the message. They remain in the Files module, and access is determined by the file's security setting (public or secure) and the recipient's folder permissions.
You don't need to start from the Files module to share files in a message. When composing a new message or reply, two attachment buttons appear below the editor:
Attach from Files: opens a file picker where you can browse your community's Files module, navigate folders, and select one or more files to attach. These files are linked from the drive.
Upload file: upload a file directly from your device (up to 25 MB). Supported formats include documents (PDF, Word, Excel, PowerPoint, Pages, Numbers), images (JPG, PNG, GIF, SVG, WebP), and plain text (TXT, CSV).
Attached files appear as chips below the buttons. Click the X on any chip to remove it before sending. Recipients see the attachments as downloadable chips on the message.
When sharing to the Bulletin Board from the Files module, the files are linked to the post. If the original file is later deleted from the Files module, it will no longer be accessible from the post.
When sharing via the Files module's Send via Message option, the message contains links to the files, not copies. Recipients need the appropriate folder access (or the file must be set to public) to open them.
Files attached via Attach from Files in the message editor are also linked from the drive and follow the same access rules.
Files attached via Upload file in the message editor are stored separately and accessible to all recipients. Uploaded attachments are retained for three years from the date of the last message sent in the conversation, then automatically deleted.
You can select multiple files at once to share them together in a single post or message.
