Managing Your Account

Update your profile photo, name, email address, and phone number, add extra contact details, and control what other members can see about you.

Manage Account is where you keep your own details current: your photo, your name, the email address you log in with, your phone number, and how much of that other members can see.

Who can do this

Everyone with a Communitrak account can manage their own account. No permission is required. Community Leaders with the Update Member Contact Info permission can edit your contact details from your member profile, but your login email, password, and privacy preferences stay yours alone.

Open your account

  1. Log in to Communitrak at https://app.communitrak.com.

  2. In the main navigation menu, expand My Account and click Manage Account.

You can also click your name or avatar in the top-right corner and choose Account.

Profile photo

  1. Click Update, or click your photo.

  2. Drag an image onto the upload area or click to browse. JPG, PNG, and GIF are accepted, up to 5 MB.

  3. Drag to reposition and use the handles to resize, then click Upload.

Click Remove to go back to your initials.

Personal information

Your First Name, Last Name, and Birthday live here. This is how you appear across every community on Communitrak, not just the one you are currently in. Click Save Personal Information when you are done.

Note: Your name can be changed once every 90 days. If you have changed it recently, the fields are locked and a message tells you how many days are left. This keeps a member's identity stable for the neighbors who know them by name.

Email address

This is the address you use to log in. Enter a new one and click Update Email.

Changing it normally starts a verification step. A 6-digit code goes to the new address, and you enter that code to confirm the address is yours. The code expires in 10 minutes, and you can request another with Resend Code after a short wait.

A green Verified tag appears next to the field once the address is confirmed. If the address is unverified, a banner offers Resend Verification Email.

Heads up: While your email address is unverified you still receive notices about charges, violations, and deadlines, but without the details. You are told something needs your attention and asked to sign in instead. Verifying restores the full emails.

Phone number

Enter your number and click Update Phone. As with email, this normally starts a verification step: a 6-digit code is texted to the number, and a Verified tag appears next to the field once you enter it.

Because the code goes to the phone itself, only the person holding it can finish the change. That is why another member of your household cannot add your number for you.

Contact information

Below your account details are two cards. These are specific to the community you are currently in.

Primary Contact Information

A read-only summary of your Email, Phone, Property Address, and Mailing Address. The email and phone come from the sections above. The addresses come from the Manage Household page, and the mailing address reads "Same as property" when you have not set a separate one.

Additional Contact Information

Extra ways to reach you beyond the primary set, such as a work email, a cell phone, or a vacation home.

  1. Click Add and choose Email Address, Phone Number, or Address.

  2. Give it a Label you will recognize, such as "Work Email" or "Cell Phone".

  3. Fill in the details and click Save.

Click the pencil icon next to an entry to change it, or open it and click Delete to remove it.

Note: Additional contact information belongs to one community and is not shared with other communities you are a member of. If you belong to more than one, add it separately in each.

Privacy preferences

These switches control what other members see about you in the community directory and on your profile. Each one saves as soon as you flip it.

  • Show Me in Directory is the master switch. Turn it off and you are hidden from the directory and from search results, and the settings below it stop having any effect.

  • Email Address shows your email on the members list and your profile.

  • Phone Number shows your phone on the members list and your profile.

  • Property Address shows your property address on the members list, your profile, and when someone composes a message.

  • Mailing Address shows your mailing address on your profile. This only matters when your mailing address differs from your property address.

  • Additional Contact Information shows the extra emails, phone numbers, and addresses you added above.

Note: Community Leaders and administrators can always see your contact information, whatever these switches say. They need it to run the association. These settings control what your fellow residents see.

If you are a community leader, Show Me in Directory is turned on and locked, since residents need to be able to find the people who represent them. You can still turn off the individual contact details below it.

About account removal

Communitrak cannot delete your account on request. Your HOA owns the resident records on the platform and is legally responsible for them, and Communitrak only adds, changes, or removes records on the HOA's instructions. Associations are also generally required to keep certain records, such as assessments, violations, and governance history, for a period of time under state law and their own governing documents.

If you need to be removed from your community, contact your HOA's board or management directly. Once they authorize it, Communitrak handles the rest.

Things to know

  • Your photo, name, birthday, email, and phone belong to your Communitrak account and follow you into every community you are a member of. Contact information and privacy preferences belong to one community at a time.

  • Your password, two-factor authentication, and passkeys are on the Security tab. Which emails and texts you receive are on the Notifications tab.

  • Your property address is not editable here. It comes from your household, and a Community Leader has to change it. Your mailing address can be updated by your Head of Household on the Manage Household page.
