Setting Up Access Control

Check your access control bridge, sync members with UniFi Access, link doors to amenities, and create the schedules and access policies that decide who can open which doors and when.

Access Control connects Communitrak to your community's UniFi Access door hardware, such as gates, pool doors, and clubhouse entrances. You manage who can get in from Communitrak, and a small bridge device at your community passes those changes to UniFi Access. This article covers the System page, where you check the connection, keep members in sync, and set up the schedules and access policies that control your doors.

Who can do this

Every Access Control page requires the Manage Access Control permission. Access Control is a paid add-on, so the module is turned on by Communitrak Support rather than from Preferences, and the bridge is registered by Communitrak when your hardware is installed. If you're interested in adding it, chat with Communitrak Support.

Some options may be unavailable or appear differently depending on your level of account access.

Open the System page

  1. Log in to Communitrak at https://app.communitrak.com.

  2. In the main navigation menu, expand Access Control and click System.

The tabs across the top switch between System, Cards, Touch Pass, and Logs.

Check the bridge

The System Overview card shows whether Communitrak can reach your doors.

  • Connection: Connected means the bridge checked in within the last 10 minutes. Stale means it hasn't, usually because it lost power or internet. Disconnected means it has never checked in.

  • Last Heartbeat: when the bridge last checked in. It normally does this every 5 minutes.

  • UniFi Access: whether the bridge can reach your UniFi Access controller on the local network.

  • Bridge Version: the software version running on the bridge.

Below that, System Summary counts your Doors, Access Cards, and Synced Members. If some members aren't synced, a warning shows how many, with Sync Members Now and View unsynced members.

Heads up: Most actions on these pages need the bridge to be Connected. While it's Stale, the sync buttons and the New buttons for schedules and policies are turned off.

Sync with UniFi Access

The Sync with UniFi Access card keeps Communitrak and UniFi Access matching. Each row shows when it last synced. Only one sync can run at a time.

  • Members: creates and updates your community members in UniFi Access, then removes UniFi Access users who are no longer members.

  • Profile Pictures: copies members' Communitrak profile photos to UniFi Access.

  • Doors & Policies: pulls the latest doors, devices, and access policies from UniFi Access.

  • Access Cards: pulls your NFC card inventory and assignments from UniFi Access.

  • Touch Passes: pulls phone-based passes and their assignments from UniFi Access.

  • User Groups: sends your Communitrak member groups to UniFi Access and keeps their memberships current.

  • Role Groups: sends groups based on Communitrak roles to UniFi Access and keeps their memberships current.

Click Sync on any row to run it. Run Members after you add new residents, since a new member isn't sent to UniFi Access until a sync runs or someone syncs them from their profile.

Members who won't sync

Click View unsynced members to see who didn't make it to UniFi Access and why. The most common cause is a duplicate or missing email address, which UniFi Access won't accept. Correct the member's email in Communitrak, then click Sync Members Now.

Doors

The Doors card lists every door UniFi Access knows about, grouped the way they're grouped in UniFi Access. If the list is empty, run the Doors & Policies sync.

Click a door to see:

  • Whether it's Locked or Unlocked, and Open or Closed.

  • Linked Amenity: the amenity the door belongs to, such as one of the pool's gates. Choose an amenity and click Save. A door can belong to one amenity, and you can also set this link when editing the amenity.

  • Access Policies: the policies that include this door.

  • Recent Activity (last 7 days): who opened the door, how, and when.

Linked Amenity only appears when your community uses the Amenities module.

Schedules

A schedule is a set of weekly time windows, like "Weekdays 9am to 5pm." On its own it does nothing. You attach it to an access policy to decide when that policy lets people in.

  1. In the Schedules card, click New.

  2. Enter a Schedule Name.

  3. Under Weekly Access Windows, check each day the schedule covers and set its start and end times. To use Monday's times for every day, click the copy button next to Monday.

  4. Click Create.

Use the pencil and trash icons to edit or delete a schedule. The schedule marked Default can't be edited or deleted. Deleting a schedule affects every policy that uses it.

Access policies

An access policy is what actually grants entry: it pairs a schedule with a set of doors, and you give it to the people who should have that access.

  1. In the Access Policies card, click New.

  2. Enter a Policy Name, such as "Pool Access 9am-9pm."

  3. Choose a Schedule.

  4. Under Door Groups (optional), choose the doors or door groups the policy opens.

  5. Under Assign to Groups, choose any synced user groups or role groups who should get this policy.

  6. Under Assign to Members, choose individual members. Both lists have Select all and Deselect all.

  7. Click Create.

Use the pencil icon to change a policy's doors, schedule, or who it's assigned to. Deleting a policy removes it from UniFi Access, and everyone assigned to it loses that access right away.

Assigning to groups is the easiest way to keep access current. Sync User Groups or Role Groups first so they appear in the list, and when someone joins or leaves the group in Communitrak, the next group sync updates their access.

Things to know

  • Changing a member's status to inactive, or removing them from their household, deactivates them in UniFi Access automatically. Restoring them to active turns them back on.

  • Changes usually reach your doors in under 10 seconds. If the bridge is offline, they wait and go through once it reconnects.

  • If your Communitrak subscription is in a read-only state, you can view these pages but can't sync or make changes.
