Managing Access Cards, PINs, and Touch Passes

Add NFC access cards, give residents cards, PIN codes, and Touch Passes, assign access policies to a member, and handle lost or disabled credentials.

Residents open your community's doors with a credential: an NFC access card, a 6-digit PIN code, or a Touch Pass on their phone. This article covers keeping your card and Touch Pass inventory in order and giving residents the credentials and access policies they need.

Who can do this

This requires the Manage Access Control permission, and your community needs Access Control turned on with a connected bridge. A resident must be synced to UniFi Access before you can give them credentials or policies.

Some options may be unavailable or appear differently depending on your level of account access.

Give a resident access

Everything for one person is in one place: the Access Control card on their member profile.

  1. Log in to Communitrak at https://app.communitrak.com.

  2. Open the resident's profile from Community Members.

  3. Find the Access Control card. If it says Not synced, click Sync first.

  4. Under Access Policies, click + Assign Access Policy, choose the policies they should have, and click Assign Policies.

  5. Under Credentials, add whatever they'll use to open the door: + Assign Card, + Add PIN, or + Assign Touch Pass.

A resident needs both an access policy and a credential. The policy decides which doors and hours they get, and the credential is how they prove who they are at the door.

Choosing policies replaces the resident's current list rather than adding to it, so keep any existing policies selected. Saving with none selected removes all of their policies.

You can also open the same panel from the Cards or Touch Pass page by clicking a resident's name in the Assigned To column.

PIN codes

A PIN must be exactly 6 digits. Once saved it shows as dots, and nobody can view it again in Communitrak. To change a PIN, remove it and add a new one.

Access cards

Open Access Control > Cards to see every NFC card your community owns. Search by card ID, alias, or resident name, or filter by status.

  • Unregistered: added to Communitrak but not yet sent to UniFi Access.

  • Available: ready to give to a resident.

  • Assigned: in use by a resident.

  • Lost or Disabled: taken out of use.

Add cards by tapping them

This is the easiest way to add a card, since you don't need to know its ID.

  1. Click Add Card and choose Tap to Enroll.

  2. Choose the reader you're standing at and click Start.

  3. Tap the card on that reader. You have about 13 seconds.

  4. When you see Card detected!, give the card an Alias so it's easy to recognize, such as the number printed on it.

  5. To hand it out right away, choose someone under Assign to Member (optional).

  6. Click Save Card.

Add cards by ID

  1. Click Add Card and choose Manual Entry.

  2. Enter each card's hex ID, such as A1B2C3D4, and an optional alias. Click Add Row for more cards.

  3. Click Add Cards.

  4. Click Import to UniFi at the top of the page to send them to UniFi Access. The button shows how many cards are waiting.

Cards added by ID stay Unregistered, and can't be given out, until they're imported.

Change a card

Click the three-dot menu on a card's row:

  • Assign gives an available card to a resident.

  • Unassign takes it back. The card returns to Available for someone else.

  • Mark as Lost or Mark as Disabled takes a card out of use. If it was assigned, it's unassigned and stops opening doors.

  • Re-enable returns a lost or disabled card to Available.

  • Delete Card removes a lost or disabled card for good.

Tip: When a resident reports a lost card, mark it as Lost rather than unassigning it. That way it can't end up handed to someone else, and if it turns up you can re-enable it.

Touch Passes

A Touch Pass lets a resident open doors with their phone or Apple Watch. Passes are purchased in the UniFi Access console, not in Communitrak.

  1. Buy passes in UniFi Access.

  2. In Communitrak, open Access Control > Touch Pass and click Sync from UniFi.

  3. Click the three-dot menu on an unassigned pass, choose Assign, select the resident, and click Assign.

Each pass shows a status: Active, Pending, Suspended, Inactive, or Expired. From the three-dot menu you can Suspend an active pass and Reactivate it later, or Unassign it so it can go to someone else.

Things to know

  • When a resident moves out and you change their status to inactive or remove them from the household, they're deactivated in UniFi Access automatically. You may still want to unassign their card so it can be reused.

  • Residents can see their own cards, Touch Passes, and household PIN on the My Access card on their Dashboard.

  • Changes usually reach your doors in under 10 seconds. If the bridge is offline, they go through once it reconnects.
