Managing the Bulletin Board

Approve, pin, schedule, and moderate posts, post as the board or a group, and choose who can post.

This article covers running your community's Bulletin Board: approving posts, pinning announcements, scheduling posts, posting as your board or a group, handling reports, and deciding who can post, like, and comment. Who can do this

Each Bulletin Board action is its own permission, granted per role:

  • Create Bulletin Board Post with Approval: can post, but each post waits for approval.

  • Create Bulletin Board Post without Approval: posts publish right away and can be scheduled.

  • Approve Bulletin Board Posts: sees every pending post and can approve or reject it.

  • Pin Bulletin Board Posts: can pin and unpin posts.

  • Delete Bulletin Board Posts: can delete anyone's post.

  • Moderate Bulletin Board Posts: sees the Reported tab, acts on reports, and can edit anyone's post.

  • Like Bulletin Board Posts and Comment on Community-Wide Bulletin Board Posts: control engagement on posts shared with the whole community.

  • Post as the Board or a Member Group: can sign a post as your community's leadership, or as a group they're an admin of.

Members with Manage Member Groups can post to any group without approval. Group admins can approve posts in their own group. Some options may be unavailable or appear differently depending on your level of account access.

Choose who can post, like, and comment

  1. In the main navigation menu, expand Community and click Roles.

  2. Click the role you want to change, such as the role your residents hold.

  3. Under Bulletin Board, turn the permissions above on or off.

To have residents' posts reviewed first, give their role Create Bulletin Board Post with Approval and not Create Bulletin Board Post without Approval. A role holding both publishes without approval. System roles are read-only, so duplicate one to change it. See the article on managing roles and permissions.

Approve or reject a pending post

  1. Open the Pending tab. The yellow badge shows how many posts are waiting.

  2. Review the post.

  3. Click Approve Post on the post, or choose Approve Post from its three-dot menu.

To reject a post, click Delete Post instead. You can't approve a post you wrote yourself, so another approver has to. Once approved, the post goes out to its audience and the author is notified.

Pin a post

Pinned posts stay at the top of the feed for everyone who can see them. Use pins for announcements every member should read.

  1. Open the three-dot menu on the post.

  2. Choose Pin Post.

To remove a pin, choose Unpin Post from the same menu.

Schedule a post

If your posts publish without approval, you can write a post now and have it go live later.

  1. Click New Post and fill in the post.

  2. Click the arrow beside Create Post and choose Schedule.

  3. Pick one of the suggested times, or click Pick date & time, choose your own, and click Schedule send. Times are in your community's time zone.

  4. Click Schedule Post.

Your upcoming posts are listed in the Scheduled tab. Click one to edit it or change its time, click the send icon to publish it now, or click the trash icon to cancel it.

Post as the board or a group

With Post as the Board or a Member Group, the New Post dialog shows a Post as field. Choose your community's name to sign the post as its leadership, or a group you're an admin of to sign it as that group. Residents see the post signed by the board or group instead of by you.

Communitrak always records who really wrote the post. You, the group's admins, and moderators reviewing a report can still see it. Posts that need approval are always published under your own name.

Moderate reported posts

  1. Open the Reported tab. The red badge shows how many posts have open reports.

  2. Read the reports under each post. Each shows who reported it and why.

  3. Choose an action:

    • Dismiss Reports: keep the post and clear its reports.

    • Approve Post: shown when the post is also pending. Publishes it and clears its reports.

    • Remove Post: delete the post from the Bulletin Board.

A reported post stays visible to the community until you act on it.

Group bulletin boards

Each group has its own Bulletin Board tab, and its own settings decide who can post there (All Members or Admins Only), whether posts need a group admin's approval, and whether members can like and comment. Only active members of a group can post to it, whatever their role. Group admins change these settings on the group's Settings tab. See the article on creating and managing member groups.

Things to know

  • To turn the Bulletin Board on or off for your whole community, use its switch on the Preferences page. Turning it off hides it from the main navigation menu for everyone.

  • Deleting a post removes it for everyone, along with its likes and comments.

  • Approving a post sends the same email and push notifications to its audience as a post that published right away.
