Responding to a Violation

See a violation issued to your household, reply to your community's leaders, send proof that it's fixed, and pay a fine.

When your community's leaders find something at your property that doesn't follow the community's rules, they can record it as a violation. You are notified, and the violation has its own page in Communitrak where you can see what was noted, reply, send photos or documents showing it's been fixed, and pay any fine.

Who can do this

Everyone in the household a violation is about can see it and respond. You see only violations about your own household, plus any you have been added to. Some options may be unavailable or appear differently depending on your level of account access.

When a violation is issued

When a leader records a violation against your household, everyone in the household is added to it and notified by email, push notification, and in the app. You may also receive a printed letter by mail.

To find it, open the link in the notification, or:

  1. Log in to Communitrak at https://app.communitrak.com.

  2. Click Violations in the main navigation menu.

  3. Click the violation to open it.

A badge on the Violations menu item shows how many are open, and a dot appears when one has activity you haven't seen.

Read the violation

The top of the page shows its status:

  • Pending (yellow): The violation is open.

  • Past Due (red): The violation is still open and its compliance deadline has passed.

  • Completed (green): Your community has marked it resolved.

  • Deleted (gray): Your community has removed it.

Below that you'll see the title, your address, the date it was opened, the Deadline your community set for fixing it, and a description of the issue.

Reply and send proof

The page is a conversation between your household and the leaders handling the violation.

  • Comments: Type in Write a comment... and click the check mark to post. Use this to ask a question, explain the situation, or say when it will be fixed. You can delete your own comments at any time.

  • Attached Files: Click Add to upload photos of the completed work, a receipt, or any other document, up to 10 MB each. You can attach PDF, Word, Excel, PowerPoint, text, and CSV files, and JPG, PNG, GIF, BMP, and SVG images. You can delete your own files.

Everyone on the violation's Watchlist sees your comments and files and is notified when you post. The watchlist shows who that is: your household is labeled Violation Recipient, the person who issued it Violation Creator, and anyone else following it Collaborator.

When something new happens on the violation, a blue banner at the top tells you what changed since you last looked. Click Jump to it to go straight to it.

Pay a fine

If your community assesses a fine, you're notified and it appears in the Fines section of the violation with its amount, description, due date, and status:

  • Unpaid: The fine is due.

  • Past Due: The due date has passed.

  • Pending: You paid by bank account and the payment is still clearing.

  • Paid: The fine has been paid.

  • Voided: Your community canceled the fine, and you don't owe it.

Click Pay Fine next to an unpaid or past-due fine to go to the payments page. The fine is a charge on your household's account, so you can also pay it there along with your other charges. Click a fine to see its full details. See "Making Payments" for how to pay.

Note: If the payments page won't let you pay yet, you may need to confirm your email address first, or your community may still be finishing its setup with Communitrak.

Letters

If your community mails you a letter about the violation, it appears in the Mailed Letters section with its subject and its delivery progress, such as Mailed, In Transit, or Delivered. Click PDF to read a copy of exactly what was sent.

Things to know

  • Only your community's leaders can mark a violation completed. Once you've fixed the issue, say so in a comment and attach a photo so they can close it out.

  • A violation can't be withdrawn or appealed in Communitrak the way a request can. If you disagree with it, explain why in a comment, or contact your community's board directly.

  • Leaders may discuss a violation privately among themselves. Your household never sees that discussion, and they don't see anything you haven't posted on the violation.

  • If your community has AI features enabled, a Summarize button above the comments gives a short summary of a long conversation.

  • You control which emails you receive in your notification settings. See "Email Notifications".
