How Your Community's Settings Affect What You See

Why a feature might be missing from your menu, why you can do less than a neighbor or board member, and why Communitrak looks different from one community to the next.

Every community sets up Communitrak its own way. Your community's leaders choose which features are turned on, what each role is allowed to do, and how the app looks. That's why your menu may not match a friend's in another community, or even a neighbor's in yours. This article explains the settings behind those differences and who to ask when something you need is missing.

Who this applies to

All residents. These are community-wide settings managed by your community's leaders, so you can see their effects but can't change them yourself. Some options may be unavailable or appear differently depending on your level of account access.

Why a feature is missing from your menu

Communitrak is made up of modules, such as the Bulletin Board, Calendar, Amenities, Payments, and Requests. Your community's leaders turn each module on or off for the whole community. When a module is off, it disappears from the main navigation menu and its Dashboard cards are hidden for everyone.

A few things to know:

  • Some modules start off. Pet Directory and Classifieds stay hidden until your leaders turn them on.

  • Requests can be partly on. Your community can offer some request types and not others, so you may see General under Requests but not Maintenance or Architectural.

  • Household features follow the same switches. Vehicles and Pets under My Household only appear when your community uses those modules.

  • Access Control isn't a resident menu item. If your community uses Communitrak to open doors and gates, you'll find your access card, PIN, or Touch Pass on the Dashboard, not in the menu.

  • Old links stop working. If you open a bookmark or an emailed link to a module that has been turned off, Communitrak sends you back to the Dashboard, sometimes with a message such as "Amenities is turned off."

Note: Turning a module off doesn't delete anything. If your leaders turn it back on, everything that was there before comes back.

Why you can do less than a neighbor or board member

Each member of your community holds a role, and the role decides what they can do. Every community starts with three roles:

  • Resident, the standard role for anyone who joins the community. Residents take part in the community but don't manage it.

  • Community Leader, for people who help run the community, such as board members.

  • Community Admin, the highest level, which also manages the community's Communitrak subscription.

Communities can also create their own roles, such as Treasurer or Architectural Committee, and decide exactly what each one can do. Two residents in the same community can see different things if they hold different roles.

Out of the box, the Resident role lets you do things like:

  • Read the Bulletin Board, like and comment on posts, and submit your own posts for leader approval.

  • Browse the member directory and member groups.

  • Reserve amenities.

  • Send and reply to messages, including to your community's leaders.

  • Make payments, save payment methods, and set up Auto Pay.

  • Submit requests.

  • Browse the Pet Directory and Classifieds, and add vendors to Classifieds, when those modules are on.

Your community can grant the Resident role more than this or less, so your list may differ. If you can't find a button or page that someone else has, the most likely reason is that your role doesn't include it.

Why your bulletin board post isn't showing yet

By default, residents' Bulletin Board posts wait for a leader to approve them before anyone else sees them. Your community may let some roles post without approval. If your post hasn't appeared, it's most likely waiting for approval.

Who to ask

Only your community's leaders can change your role, what it allows, or which modules are turned on. To reach them:

  1. Click Messages in the main navigation menu and start a new message.

  2. In the recipients, choose All Leaders to write to every leader, or choose your community's name to send it to the community's shared inbox.

The Community Leaders card on your Dashboard also lists who your leaders are, if your community shows it.

Why the app's colors and logo look the way they do

Your community's leaders can brand Communitrak to match the community. Depending on what they've chosen, you may see:

  • A brand color on the main navigation menu, buttons, and highlights.

  • The community's own logo, the community's name, or the Communitrak logo in the top-left corner.

  • A custom font for the community's name.

If you belong to more than one community, each one keeps its own branding and its own set of modules. When you use Switch Household to move to another community, the menu, colors, and logo change with it.

Tip: Light and dark mode follow your device's appearance setting, not a community setting. To switch, change the appearance setting on your phone or computer.

Contact details in the member directory

When you join, your community decides which of your contact details start out visible to other members. You can change that yourself at any time.

  1. Click My Account in the main navigation menu, then click Manage Account.

  2. Find the Privacy Preferences card.

  3. Turn Show Me in Directory on or off. When it's off, you're hidden from the directory and search results.

  4. Choose which details other members can see: Email Address, Phone Number, Property Address, Mailing Address, and Additional Contact Information.

Community leaders and administrators can always see your contact information, whatever you choose here. Leaders are always listed in the directory.

Your community also picks which columns the member list shows the first time you open it. You can change the columns for yourself from that page.

When your community's Communitrak subscription has a problem

Your community pays for Communitrak, separately from any dues you pay your HOA. If that subscription runs into trouble, here's what you'll notice:

  • A late or failed payment: nothing changes for you. Your leaders see a warning, and everything keeps working while they sort it out.

  • A canceled, unpaid, or paused subscription: the community becomes read-only. You'll see a Community Access Limited banner, and you can only open the Dashboard and your own account pages until your leaders resolve it.

  • Dues while read-only: you can't make payments, and Auto Pay doesn't run. Your charges stay on your balance, and Auto Pay picks them up again once your community's subscription is back in good standing.

Only your community's leaders can fix the subscription. Messages isn't available while the community is read-only, so reach your leaders another way if the banner doesn't go away.

Other settings you might notice

  • You can't log in yet. While a community is being set up, its leaders can keep residents out. You'll see a message on the login page saying your community leaders are preparing the system for launch, and if you were already signed in, you're signed out within a few minutes. Your leaders will let you know when it's ready.

  • AI writing help is missing. Your community can turn off Communitrak's AI features. When it does, the AI tools don't appear anywhere in your community. If your leaders turn AI off or back on while you're signed in, you'll see the change within a few minutes.

If you have questions or need help, chat with Communitrak Support from any page using the messenger icon in the bottom-right corner.
