Communitrak organizes users based on role within the community as well as role within individual households.

Communitrak organizes users based on role within the community as well as role within individual households. These designations determine what information is available to the user and what actions they can perform within Communitrak.

Community Level

Community Admin

The Community Admin role is designed for users who need the highest level of administrative control within the Communitrak platform. This role typically encompasses HOA Presidents or equivalent positions and is assigned to individuals who require comprehensive oversight and management capabilities for their community.

Community Admins possess more elevated access than Community Leaders. Their administrative tasks include, but are not limited to:

  • Updating community leadership and management roles.

  • Managing billing information and overseeing financial transactions.

  • Accessing and modifying all community settings and configurations.

  • Overseeing community-wide communications and announcements.

  • Performing audits and reviews of community operations.

By default, the Community Admin role is reserved for the HOA President or an equivalent figure in the community’s management structure. The creation of the community account on Communitrak automatically designates the account creator as the Community Admin. This role can then be assigned or reassigned to other members, as deemed necessary by the community’s governance policies.

Community Leader

Users designated as Community Leaders have elevated administrative privileges for the community on Communitrak. These users can take actions that impact the entire community such as:

  • changing the name of the community

  • inviting new residents and removing previous residents

  • adding or removing a payment method for the community

  • configuring the HOA checking account for resident payment transfers

  • assessing charges to residents as well as voiding or marking charges as paid

  • moderating community bulletin boards and calendars

  • creating and tracking violations and resident requests

This is the default level of access for the original creator of the community only. Subsequent new users will be designated as Residents.

Resident

Users designated as Residents have standard access privileges for the community on Communitrak and can take actions that impact only their household.

This is the default level of access for new users joining an existing community.


Household & Property Level

Head of Household

Community Leaders and Residents designated as a Head of Household have administrative access for their particular household. These users can perform actions such as:

  • add and remove members from their household

  • add or remove a payment method for the household

  • make a payment to the HOA

  • reserve an amenity

This is the default level of access for new users of newly created households. Subsequent users of established households are designated as Household Members (see below) by default.

Household Member

Community Leaders and Residents designated as a Household Member have the lowest level of access for their particular household. These users can perform actions limited by the restrictions placed on them by their Head of Household.

The most common restriction for Household Members involves actions that require payment. For example, Household Members cannot make a payment for the household or reserve an amenity that requires a deposit or reservation fee unless their Head of Household has granted them charging privileges.

This is the default level of access for new users joining an existing household after being invited by the head of their household.


Example Scenarios:

  • Jane is the President of her HOA and created the Communitrak account for her community, Water Oaks HOA. She would be designated as a Community Leader as well as a Head of her Household.

  • John joins his HOA on Communitrak using an invitation from Jane. He would be designated as a Resident as well as a Head of Household.

  • Lisa is John’s wife and joined Communitrak using an invitation he sent her. She would be designated as a Resident and a Household Member by default until John upgrades her account to Head of Household.

  • Tim is Lisa and John’s son and joined Communitrak using an invitation John sent him. He would be designated as a Resident and a Household Member.
