Once you have successfully uploaded a file to Communitrak, you may want to share it with other community members or even third parties outside of your community. Communitrak provides a secure and straightforward way to manage who can access your files through shareable links and customizable file security settings. Here's how you can share your files and adjust their access permissions.
This article assumes you have already uploaded a file to the Files module.
Step 1: Access File Options
Open File Options: Locate the file you wish to share or modify access permissions for in the Files section. Click on the three dots at the far right of the file's tile to reveal additional options.
Step 2: Navigate to File Link & Security
Open File Link & Security Settings: From the options presented, click on "File Link & Security." This will open a pop up window where you can view the file's shareable link and adjust its security settings.
Step 3: Share Your File
Copy and Share the File Link: The file's shareable link will be displayed prominently on this page. You can copy this link and share it via email, messaging apps, or any other communication platform with community members and third parties, ensuring easy access to the file.
Step 4: Adjust File Security
Customize Access Permissions:
Members Only Access: If you wish for only community members to access the file, ensure the security setting is set to "Members Only - Login Required." This means that a login will be required to view or download the file, providing an additional layer of security.
Public Access: To make the file accessible to anyone with the link, including those outside of your community, select the "Public - Login not required" option. No login will be required to access the file, making it ideal for sharing widely or with people not registered on Communitrak.
Step 5: Save Your Settings
Finalize Security Settings: After selecting your desired security setting, click "Save" to apply the changes. This will update the access permissions for the file, ensuring that only the intended audience can view or download it.
